Treat confirmation as a stage to verify

Read cancellation terms before paying

Find the cancellation conditions that apply to the actual vehicle and selected products. Look for the deadline, how a request must be submitted, which amount may be refunded and whether a service charge or other deduction applies. Do not rely on a broad phrase such as flexible booking without reading the associated conditions.

Consider the events that might lead you to cancel: a changed flight, illness, an altered itinerary or a failed payment requirement. Handle delays before they become missed appointments

If a flight or ferry is delayed, inform the rental supplier as directed in the confirmation and contact booking support when necessary. Provide the reference, original appointment and updated arrival information. If a route is excluded, alter the transport plan rather than assuming additional cover or a larger vehicle makes it acceptable. Know how inspection and incidents affect the record

At collection, ensure the condition report reflects existing damage and retain photographs taken in suitable light. Compare the vehicle and equipment with the confirmation. Understand the final return obligations

Return time and location are part of the booking, not flexible suggestions. If you need a change, obtain approval before the deadline. Rental periods can be charged in full-day increments under the applicable terms, so a modest time change may affect the total. Check the calculation rather than assuming a small delay has no financial consequence.

Plan the fuel requirement, inspection and onward transfer into the day. An early return does not automatically entitle you to a refund for unused time. Ask about the actual conditions before changing the itinerary for a presumed saving. Similarly, returning at a different location requires agreement even if that location also offers rentals.

For an unattended return, obtain the precise authorised instructions and clarify acceptance of the vehicle. Keep the requested evidence and confirmation. Do not leave keys in an improvised place or assume a photograph alone closes the agreement. The aim is a documented handover, whether or not a representative is physically present.

Resolve refunds, security and disputed charges methodically

When money is due back, identify what it relates to: cancellation refund, correction of a payment or release of security. These processes may involve different parties and banking stages. Request the relevant confirmation and transaction information. A pending authorisation is not the same as a completed debit, so check the bank record carefully.

For a disputed charge, assemble the booking confirmation, agreement, payment records and condition evidence. State the disputed amount and the reason you believe it needs review.
